What You'll Do
As the Patient Care Coordinator, you will serve as a key point of contact for patients and families while working closely with the clinical and administrative teams.
- Welcome and support patients, parents, and guardians throughout the scheduling and treatment process.
- Coordinate appointments and proactively fill schedule gaps using available scheduling and patient-engagement tools.
- Follow up on pending appointments, cancellations, recall lists, and unscheduled treatment.
- Verify and interpret in-network and out-of-network dental insurance benefits.
- Prepare and manage pre-estimates, prior authorizations, claims, and insurance follow-up.
- Process patient payments and support approved financing options, including CareCredit.
- Explain financial policies, insurance benefits, estimated treatment costs, and patient responsibilities clearly.
- Educate patients and families regarding procedures, oral hygiene, preventive care, and behavior-management expectations.
- Assist with hospital-based procedures and anesthesia scheduling as needed.
- Respond professionally to patient concerns and help resolve service issues.
- Support practice marketing, community outreach, patient engagement, and positive-review efforts as assigned.
- Maintain accurate records and use systems such as OpenDental, LocalMed, Lighthouse, Illumitrac, Clover, and Microsoft Office.
- Collaborate with the team to maintain an organized, professional, patient-ready office environment.
What We're Looking For

- Working knowledge of dental insurance benefits, claims, authorizations, pre-estimates, and dental coding.
- Comfort discussing financial responsibilities, treatment costs, and payment options.
- Strong attention to detail and accuracy when handling patient, insurance, scheduling, and financial information.
- Ability to manage multiple priorities in a fast-paced pediatric dental environment.
- Professional judgment when handling difficult or sensitive patient situations.
- Team-oriented approach with the ability to work independently when needed.
- Proficiency with Microsoft Office and the ability to learn dental practice-management and patient-engagement technology.
Education & Experience
- High school diploma or equivalent required.
- Previous dental, medical, healthcare, patient-service, or comparable customer-facing experience preferred.
- Dental front-office, insurance, treatment coordination, or patient care coordination experience strongly preferred.
- Pediatric dental or pediatric healthcare experience is a plus.
Work Environment
This is a full-time, on-site position in a pediatric dental practice. The role requires regular interaction with children, parents, guardians, clinical staff, and administrative team members in a patient-centered environment. Priorities may shift throughout the day, requiring adaptability, professionalism, and strong follow-through.
