Academic Human Resources is seeking candidates for the position of Faculty Affairs Specialist. Reporting to the Faculty Affairs Administrator, this position provides critical support for the promotion and tenure process, Regents communications, and other faculty affairs matters.
Candidates for this position must have the knowledge, skills, abilities and experience needed to provide highly responsible and effective administrative support in a leadership setting. Key skills include accuracy and attention to detail, the ability to problem-solve, excellent planning and project management skills, consistent and effective follow-through, high quality writing skills, excellent customer service and diplomacy and the ability to handle sensitive matters in a discreet manner. The successful candidate will be working in a fast-paced environment with ever-changing priorities and must be adaptable, able to work under pressure to meet deadlines, and able to develop relationships with faculty and staff from across the campus to support a collaborative environment.
Responsibilities*
- Co-manage faculty reference check process (Institutional Reference Checks), investigate prior institutional records (e.g., Title IX/EEO, HR), evaluate disclosures for risk mitigation, and maintain privacy compliance.
- Oversee CaseIQ platform tracking, monitor critical timelines, and proactively follow up with stakeholders to ensure deadline compliance.
- Co-facilitate the promotion and tenure process on behalf of the Office of the Provost. Assist with monthly Regents agendas and tenure/promotion packages, auditing submissions for accuracy, compliance with University bylaws, and missing data.
- Direct special initiatives and projects from concept to completion, managing timelines, resources, and stakeholders to deliver high-quality outcomes.
- Generate and analyze data and reports to support the Tenure and Promotion process.
- Maintain systematic follow-up processes to ensure that deadlines are met and that information or material required from other offices is received on a timely basis.
- Required Qualifications*
- Bachelor's degree in a related field or equivalent combination of education, certification, and experience.
- Minimum of two years related administrative experience in a complex organization, requiring confidentiality, organization, prioritization, and attention to detail.
- Demonstrated experience managing public-facing interactions, drafting professional written communications, and serving as an effective administrative liaison across teams.
- Excellent interpersonal communication skills and the ability to interact effectively with a variety of stakeholders at all levels.
- Considerable knowledge of and ability to use advanced business software and computer applications (Word, Excel, PowerPoint, Google, etc.).
- Demonstrated experience handling sensitive and confidential information.
