Overview
Summary:
The HR Onboarding Coordinator is responsible for managing and coordinating the full onboarding lifecycle for all new hires across business locations. This role ensures a seamless and compliant onboarding experience from offer acceptance through first day readiness. The HR Onboarding Coordinator oversees background checks, fingerprinting, medical clearances, and required documentation, while ensuring all onboarding paperwork is accurately completed in ADP and other internal systems.
This role also coordinates system access setup, including ADP, Google Mail, training platforms, and other internal systems. In addition, the HR Onboarding Coordinator provides administrative support to the human resources function as needed, including record-keeping, file maintenance, HRIS entry, and other HR duties as assigned.
- Schedule & Work Environment
- Schedule: Full Time, M-F 8am-5pm EST
- Work Environment: Remote (Eastern or Central time zone based candidates preferred)
- Travel: Occasional travel may be required for department or company events, but is very infrequent (1-2 times per year)
- This position is open to candidates residing in states where Verbal Beginnings is currently registered to employ staff: DC, DE, FL, ID, IN, MA, MD, MI, NC, PA, SC, TN, TX, UT, VA, WA, and WV.
Compensation & Benefits Compensation: $40-45K

Responsibilities
Key Responsibilities:
Onboarding Coordination and Compliance:
- Manage the end-to-end onboarding process for all new hires.
- Coordinate background checks, fingerprinting, and medical clearances, ensuring timely completion and compliance with regulatory requirements.
- Track onboarding milestones and proactively follow up to prevent delays in start dates.
- Ensure completion and accuracy of new hire paperwork within ADP and other HR systems.
- Maintain organized and compliant digital personnel files.
- Serve as the primary point of contact for new hires throughout the onboarding process, providing guidance and support.
Systems Setup and Access Management:
- Coordinate system setup for new hires, including ADP, Google Mail, training systems, and other required platforms.
- Partner with IT and department managers to ensure appropriate access is provisioned prior to start date.
- Monitor and confirm system readiness for first day onboarding.
HR Data Management and Reporting:
- Maintain accurate employee data within ADP and other HR databases.
- Generate onboarding and compliance reports as needed.
- Assist with internal transfers and status changes related to onboarding or position changes.
Cross-Functional Coordination:
- Collaborate with hiring managers to ensure readiness for new employee start dates.
- Provide guidance to managers regarding onboarding timelines, documentation requirements, and compliance standards.
- Assist in maintaining onboarding checklists, workflows, and process improvements.
General HR Support:
- Assist in preparing HR-related documents, presentations, and communications.
- Support employee inquiries related to onboarding and employment documentation.
- Provide general administrative support to the HR department as needed.
Qualifications
About You:
- 2 years HR, healthcare clearances or recruiting/onboarding experience
- Proficient with Google Workplace and HRIS systems. ADP/iCims a plus.
- Experience in healthcare strongly preferred
- Experience managing background checks, compliance documentation, or healthcare clearance strongly preferred.
- HR credentials such as PHR, SHRM-CP, or other related HR certifications are a plus.
- Excellent written communication skills.
- Excellent interpersonal and customer service skills.
- Strong organizational skills with exceptional attention to detail.
- Working understanding of human resource principles, compliance requirements, and onboarding best practices.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced, deadline-driven environment.
